At OneTap Track, we take your privacy seriously. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our employee monitoring and productivity tracking software. Please read this privacy policy carefully.

Information We Collect

We collect information to provide better services to all our users. This includes:

  • Personal Information: Name, email address, phone number, company name when you sign up
  • Usage Data: Time tracking data, app usage, website visits, screenshots (based on your plan)
  • Device Information: Computer type, operating system, device identifiers
  • Activity Data: idle time, active app and website titles during work sessions

How OneTap Track Collects Data, In Plain Terms

We believe monitoring should be transparent, so here is exactly what happens:

  • Data is collected by the desktop app only while an employee has an active work session. When the session is paused or stopped, tracking stops too.
  • Screenshots are taken at the interval the organization sets, and are visible to admins on a timeline in the dashboard.
  • The active application and website are logged during the session. Admins can also block specific sites for their team.
  • The mouse and keyboard heatmap stores counts of activity only. It does not log the actual keys pressed, so it cannot capture passwords, messages or any typed text.
  • Live screen viewing happens only when an admin requests it in real time; it is not recorded in the background.
  • All this data belongs to the employer (the organization). OneTap Track processes it on their behalf and does not sell it.

How We Use Your Information

We use the information we collect to:

  • Provide and maintain our services
  • Track employee working hours and productivity
  • Generate reports and analytics
  • Improve and personalize our services
  • Send you technical notices and support messages
  • Respond to your comments and questions

Data Security

We implement appropriate technical and organizational measures to protect your personal data:

  • Data is encrypted in transit using HTTPS / TLS
  • Account passwords are stored as salted hashes, never in plain text
  • Optional two-factor authentication (2FA) for extra account security
  • Role-based access, so each person only sees the data they are allowed to
  • Screenshots are stored on secured servers and backed up to encrypted cloud storage

Data Retention

We keep personal and activity data only for as long as it is needed to provide the service to your organization. Screenshots and activity logs are kept according to the retention window your organization's admin configures, and older screenshots are automatically deleted from backup once that window passes.

  • Retention length is set by your organization, not fixed by us.
  • Screenshots older than the configured window are removed from cloud backup automatically.
  • When an account is closed, related data is deleted or anonymized after a reasonable wind-down period, unless the law requires us to keep it.

Sharing with Third Parties

We do not sell, trade, or otherwise transfer your personal data to outside parties. We may share data with:

  • Service providers who assist in our operations (under strict confidentiality)
  • Law enforcement when required by law
  • We never sell your data to third parties for marketing

Your Rights

As a user, you have the following rights:

  • Access to your personal data
  • Correction of inaccurate data
  • Deletion of your data (right to be forgotten)
  • Data portability
  • Objection to processing

Children's Privacy

Our service is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If you become aware that a child has provided us with personal data, please contact us.
